Receptionist/File Clerk

Responsible for answering and directing all inbound calls. Will ensure that every inbound call is properly directed to requested department. As the first individual customers see and communicate with, profession appearance and communication required at all times. Exceptional customer relationship skills are required and will be the standard. Customer service if of the utmost priority and conveying that to customers is key. Must keep accurate directory on hand every shift. Email directory changes to managers. Greet customers that enter showroom. Administrate duties regarding inventory will be presented by management.

Duties and Responsibilities

  • Answer and field all phone calls
  • Filing as need by business office
  • Prepares purchase orders as needed for New & Preowned departments
  • Maintain customer waiting area for tidiness and availability of amenities
  • Prepares letters for Sales Department
  • Greet all passing customers and make sure they have been assisted
  • Maintains high ethical standards in all activities
  • Maintains professional appearance and wearing Quality logo attire.
  • Other duties may be assigned as deemed necessary by Quality’s management team.
    • Ensure that customer gets to appropriate department by asking questions
    • Maintain updated directory of personnel for reference when aiding customers to the appropriate department.
    • If customer has been on hold for an extended period, offer to have someone call them back from the requested department.
    • Ensure that amenities (popcorn, coffee, cups, etc.) are available throughout the day.
    • Print letters
    • Sort letters by department and sender
    • Fold all letters and put in branded envelops
    • Mail letters
